Privacy Policy

San Jose Movie Nights ("we," "us," or "our") operates sjmovienights.com and its community event and messaging programs. This policy explains how we collect, use, and disclose information when you use our website, register for an event, submit a review, subscribe to updates, or contact us.

Information we collect

Optional attendee accounts: we store your name, email address, optional saved phone number, securely hashed password, account sessions, linked event registrations, and notification choices. Account creation alone does not subscribe you to movie-night messages; the separate checked-by-default event-sponsor email choice applies only to events you register for. Older guest registrations are not linked simply because their email matches.

Optional social sign-in

If you choose Google, Apple, or Facebook sign-in, we receive the provider account identifier and the name and email address the provider shares with us, including an Apple relay address if you choose Hide My Email. We use this information to create or access your attendee account. We do not receive your social account password. The provider processes the sign-in under its own privacy policy. Social sign-in does not grant email or SMS marketing consent. To request deletion of your attendee account and linked social sign-in information, contact hello@sjmovienights.com; we may verify your identity before acting.

Calendar activity

When you choose a calendar or download an event, we record the event, calendar type, source, and time. We associate the action with your signed-in account or the registration linked from an email or registration confirmation when available. A first-party browser identifier groups anonymous actions for 30 days. Organizers can view this activity to understand event planning. We cannot access your calendar or confirm completed saves. Only event details are sent to your chosen calendar provider; your name and email are not included in the calendar event.

Trivia games and sponsor links

For trivia, we save your answers, score, game, participation time, and reported number of people sharing your device. A first-party browser cookie helps restore your game and avoid counting repeat joins. When you sign in or choose to save a guest game, we link that game to your attendee account. Group sizes estimate participation and are not verified attendance. Parents or guardians should manage accounts and optional contact signups for family play.

Event-specific sponsor QR links open a page on our website. We record event-page logo clicks, page opens and clicks through to the sponsor website, the event and sponsor, timestamps, and a browser identifier. Visits made while signed in are linked to your attendee account so organizers can see who engaged with sponsors. Guest visits remain unlinked to an account. Sponsors see aggregate activity. If you submit the checked-by-default event-sponsor email choice, we share your name, email, and event-specific sponsor activity only with sponsors of events you register for, including sponsors confirmed afterward. Uncheck that choice before submitting to decline. You may instead use a separate unchecked opt-in for a named sponsor. We record the preference, timestamp, event scope, and form version; a default-checked choice is recorded as such. Mobile numbers and SMS consent are never included. You can turn off event-sponsor sharing in account preferences or contact us; sponsor-specific choices can be withdrawn on the sponsor profile; this removes your contact details from future sponsor dashboard views. For messages already sent or contact details already obtained by a sponsor, use that sponsor’s unsubscribe instructions as well. Sponsor websites follow their own privacy policies. Playing a game or opening a sponsor link does not subscribe you to messages.

Notification-signup QR links also record the event, page opens, timestamp, browser identifier, and signed-in account identifier when available. When you submit an optional notification signup from that link, we connect the completed subscription to the visit to measure signup totals for the event. Opening the link alone does not provide consent to email or text messages.

Website chat

We use Tawk.to to provide live chat and let our organizers respond through its dashboard and mobile app. When the widget loads, Tawk.to processes connection and device information, such as your IP address and browser, and may use cookies or browser storage to maintain the chat. If you send a message, Tawk.to processes the conversation and any name, contact information, or files you choose to provide. We use chat information to respond to questions and support requests. We do not automatically send your attendee account details to the widget. Chat does not subscribe you to email or SMS marketing. Do not send passwords, payment details, or other sensitive information. See Tawk.to’s privacy policy. Contact hello@sjmovienights.com for privacy questions or a deletion request.

Our previous SMS-based website chat is no longer accepting messages. Its existing records remain subject to their 30-day expiry and routine cleanup. Event reminder texts remain a separate, optional service.

Partner accounts and event applications

You can use your attendee account to manage vendor and nonprofit profiles. After an event application is approved, your business or organization name, description, logo, photos, menu or programs, and website links appear publicly. Profile updates change this public information. Your contact name, email, phone, setup notes, application decisions, and organizer responses are available to you and our organizers for coordination. Applications do not subscribe you to marketing messages. You can withdraw an application to remove its event listing, or contact us to request account or profile deletion.

Sponsors can save slide artwork, logos, messages, and destination links in a private slide library. Event organizers review submitted selections. Approved slides are shown during the event’s trivia, with sponsor QR codes and website buttons using the sponsor visit tracking described in this policy.

Vendor and nonprofit host inquiries

When you submit an interest form, we store your contact details, organization, description, setup or hosting needs, preferred dates, submission time, and the referring event when provided. Our organizers use these details to review your inquiry and follow up. Submitting an inquiry does not subscribe you to marketing emails or automated texts.

How we use information

We use information to reserve event capacity, manage registrations, communicate event details and changes, deliver the email or text updates you select, moderate reviews, respond to requests, maintain consent and opt-out records, and operate and protect the website.

Email sharing with affiliated companies

We may share email addresses with other companies under common ownership with San Jose Movie Nights so those companies can send their own marketing communications. This sharing does not include mobile numbers or SMS opt-in or consent records. To request that we stop sharing your email address for affiliated-company marketing, contact hello@sjmovienights.com. You can also unsubscribe directly from a company's marketing emails using the instructions in those messages. Unsubscribing from our movie-night updates alone does not unsubscribe you from a separate company's mailing list.

Mobile numbers and SMS consent

We do not sell, rent, or share mobile numbers, mobile information, or SMS opt-in and consent records with third parties or affiliates for their own marketing or promotional purposes. The email-sharing practice above does not apply to mobile information or SMS consent.

We use mobile information to provide the messaging program you choose. We disclose it only as necessary to service providers supporting that program, such as Twilio and telecommunications carriers, to deliver messages, maintain consent and opt-out records, and address delivery or support issues, or when legally required.

Our optional text programs cover registration confirmation, reminders, weather or schedule changes, cancellation notices, and one post-event review request for a selected event, and future movie-night announcements when separately selected. Message frequency varies with the events and options you choose. Message and data rates may apply. Reply STOP to opt out or HELP for help. Consent is not a condition of purchase, registration, or attendance. See our messaging terms.

Other disclosures

Our organizers and service providers access information as needed to run events and the website. Providers include website hosting and storage services, Resend for email delivery, and Twilio for text delivery when those services are used. We may disclose information when required by law or to address fraud, security incidents, or threats to safety. Approved reviews are public; do not include private contact information in a review.

Cookies and external links

The website uses first-party cookies for organizer and attendee sign-in, session security, restoring trivia games, and measuring event-specific sponsor-link visits. The current website does not use advertising cookies or behavioral advertising trackers. It does not change its behavior in response to a browser's Do Not Track signal. Links to third-party sites are governed by those sites' own privacy practices.

Retention and security

We retain information as needed for event administration, communications you request, support, security, and applicable recordkeeping obligations. Consent and suppression records may be retained after an unsubscribe request so we can document your choices and avoid contacting you again. We use safeguards designed to protect information, but no website or transmission method is completely secure.

Your choices and requests

Use the unsubscribe link in our announcement emails or your saved notification-preferences link to stop future movie-night updates. Reply STOP to our texting number to stop all movie-night texts from that program, including event reminders. To request access to, correction of, or deletion of your information, removal of a review, or an end to affiliated-company email sharing, contact hello@sjmovienights.com. Please identify the email address or phone number involved; we may verify your identity before acting. Some records may need to be kept for legal, security, or opt-out purposes. You may have additional privacy rights under applicable law.

Children and family events

Families are welcome at appropriate screenings. Registration and subscription forms are intended for adults; parents or guardians should register on behalf of children. We do not knowingly collect personal information directly from children under 13. If you believe a child provided information, contact us so we can investigate and remove it as appropriate.

Changes and contact
